What kind of records can be stored at the Records Management Service?
We currently store mainly paper records and filing. However, it is possible to store other material with us.
Is the Records Management Service for long term storage only?
No. There is no minimum storage period.
Do you only work with large organisations?
No. We are happy to take records from any size of organisation and we currently have clients with under ten boxes in storage and others with hundreds, or thousands, of boxes in our care.
Do we have to use your boxes to store our files?
We prefer that you use our boxes. This is because they are strong boxes that offer excellent protection to the records. Our shelves are also designed to fit our boxes in the most efficient way. As an incentive they are very competitively priced. If you already have your files boxed up they may not need to be re-boxed. We aim to be as flexible as
possible.
Do you take paper records?
Yes. We take any kind of paper records and filing.
Do you store digital records?
We may be able store digital records, but would need to discuss this further. If you are interested in permanent preservation of your digital records, then our Archive Service will be able to help you further. More information on Digital deposits is available here.
Can we visit your site?
Yes. Please contact us to arrange an appointment
What do I do if I want to access a file?
Contact the Records Management Service (by email at records@wyjs.org.uk or telephone on 0113 393 9769 or Contact Us) with details of the file and we will deliver the record direct to you. We will collect it when you have finished with it.
Do you collect and deliver records?
Yes. We have a dedicated member of staff who collects and delivers records on request. We try to be as flexible as possible regarding delivery times and can deliver within 24hours. When you deposit your records with us for the first time we will also collect these ourselves.
What happens when a record reaches the end of it's retention period and needs destroying?
We can arrange confidential destruction of your records.
We need some advice on managing our records, can you help?
Yes. Our professionally qualified Records Managers offer advice on all aspects of Information Management, tailored to the needs of your organisation.
When are charges made?
We usually invoice clients quarterly, but other arrangements can be made.
